Case Study: A Non-Profit Event in GA

city of refuge event

The City of Refuge, a charitable organization, partnered with MOST (Men Opposing Sex Trafficking) to host a 3-day Guinness World Records kickball game fundraiser in Fairburn, GA. They brought us into the planning early for their event, hosting 27 male and 13 female athletes who had their sights set on a lofty goal for this record-breaking event.

Key Goals of The Kickball Event

City of Refuge is a crisis organization in the Atlanta area whose goal for this event was to raise awareness and funds to help stop sex trafficking of minors in the city of Atlanta. Their event positioned MOST athletic participants to beat the Guinness World Record for the Longest Kickball Game.

(We’re happy to report that they did it! Congrats to MOST on their third Guinness World Record! Their athletes played a 52-hour kickball game, officially the longest on record. We are honored to have been part of this globally-relevant event supporting a worthy cause.)

Fundraiser Challenges

Due to the non-stop nature of this event, the Technical Elements team had to run continuous camera feeds and a live stream over 3 days. This naturally created challenges for gear and our crew, who were both battling the elements.

The official Guinness World Records also had strict requirements, requiring us to provide a seamless recording experience for their arbiter. This entailed extensive planning and seamless execution to pull off successfully.

Technical Elements’ Strategic Approach To Goals and Challenges

To help the City of Refuge and MOST meet their goals and mitigate practical challenges, our team began overplanning immediately. We created backups and fail-safe options that enabled us to be prepared for any potential issues before they arose.

While we were on site, we found that the sun was too bright to see our clock on an outdoor TV. We immediately pivoted and provided a timer that resolved the issue and provided better online viewing.

Here’s how the Technical Elements team stepped up:

  • Virtual Event Production
  • All recording gear (for recording and streaming, including non-stop reference recording for the official Guinness Arbiter)
  • Around-the-clock on-site management

“Wow-Factor” Event Outcomes and Client Feedback

We were able to deploy a Starlink connection, combined with our Boxcast Streaming system, to create a stable online stream that would have been disrupted by basic internet limitations. These newer technologies are empowering our team to do things that were previously challenging or cost-prohibitive.

This event allowed the #TEEntourage to show off their agility, working through last-minute changes and pivoting as needed. This removed the stress of potential obstacles and created a seamless experience for the client and their attendees.

Is your event our next “wow-factor” case study? If you’re planning a fundraiser or corporate event, we’d love to collaborate with you. Our team specializes in high-impact and unforgettable experiences that you and your attendees will love. Contact Technical Elements today and let’s get started.
