From 4 A.M. Load-In to a Standing Ovation: Microsoft FabCon SQLCon at State Farm Arena

Microsoft FabCon SQLCon

State Farm Arena is one of Atlanta’s most recognizable venues. When they recommended Technical Elements to the Microsoft team and their FabCon SQLCon event, that trust meant everything, and we showed up to earn it.

Here’s a look at how it went:

  • LED walls, audio, video, and lighting for 8,000 attendees
  • Pre-production renders and drawings that brought the vision to life before load-in
  • A 4:00 a.m. call time executed without a hitch
  • Real-time additions handled on the fly with zero disruption to the show

What Were the Key Goals of This Event?

FabCon and SQLCon are major tech conferences drawing thousands of data and cloud professionals from across the country. Hosting them at State Farm Arena set a high bar from day one.

The client’s vision was specific: create an immersive environment that still felt energetic and engaging for a conference setting. They didn’t want attendees staring at a plain screen in a dark room. They wanted the production to set a tone—one that made 8,000 people feel like they were somewhere worth being.

The timeline, though, was tight. Very tight. That meant every hour of pre-production had to count.

What Were the Challenges This Event Faced?

The biggest challenge was simple: time.

Fast-moving projects at large venues require every team member to be locked in from the first call. A 4:00 a.m. load-in at State Farm Arena meant the crew was on the floor before sunrise, building a full production environment in a window that left no room for loose ends.

On top of the timeline, there were onsite additions throughout the day. Clients who are deeply involved in their events often bring new ideas as the room comes together, and that’s actually a good thing. But it requires a team and a supply chain that can respond quickly.

What Was Technical Elements’ Strategic Approach to the Goals and Challenges?

Pre-production was the foundation. Before anything was loaded onto a truck, our team developed drawings and renders so the client could see the vision before it became reality. That alignment early in the process is what allows fast execution later.

For load-in, we intentionally staffed up with additional riggers and hands on deck to move efficiently through the setup and stay ahead of the schedule. When you know the timeline is aggressive, the answer is more firepower, not crossed fingers.

When onsite additions came in throughout the day, our team didn’t miss a beat. Real-time communication between our warehouse, office, and onsite crew meant requests moved fast and the right equipment arrived when it was needed. The client stayed deeply involved throughout, which actually worked in everyone’s favor. We stayed dialed into the run of show and made smart calls in the moment.

Our work for this event included:

  • LED wall design and installation
  • Full audio and video production
  • Lighting design
  • Pre-production drawings and renders
  • Onsite crew management and real-time coordination

The Results: Event Outcomes and Client Feedback

When around 8,000 people walk into a room and the production is doing its job, they feel it before they can name it. The environment was exactly what the client set out to build. It was immersive, engaging, and worthy of a conference of this scale at a venue of this caliber.

The client was extremely happy. And perhaps the best signal of all: they’re already talking about next year.

That’s the outcome we work toward every time.

How to Replicate These Outcomes for Your Event

The biggest lesson from events like this one is that pre-production is the work. By the time load-in starts, the decisions should already be made.

Here’s what we tell every client planning a large conference or corporate event:

  • Bring your production partner in early—before the timeline gets tight
  • Invest in pre-production renders so your team is aligned before anything is built
  • Staff for the timeline you have, not the one you wish you had
  • Build a communication chain between your onsite crew, warehouse, and office so additions don’t become crises
  • Choose a venue partner who puts you in the right hands (thanks, State Farm Arena)

If you’re planning a conference or large-scale event in Atlanta or beyond, we’d love to help you build something worth talking about. Contact Technical Elements, and let’s get started.
